Vehicle Shipping Documents Explained: The Key Papers in a Car Shipment

A car shipment generates a small stack of documents, and each one has a specific job in moving the vehicle and clearing it through customs. Knowing what they are makes the process far less intimidating and helps you spot a missing paper before it causes a delay. The exact set varies by destination, but several documents are nearly universal.
The bill of lading is the central document: it is the contract of carriage, a receipt for the vehicle, and often the title that controls release at the destination. The commercial invoice states the agreed price and is used to assess duties, while the export certificate from Japan, commonly the deregistration certificate, proves the car was legally exported and provides its specifications.
Supporting papers usually include the marine insurance certificate, which evidences your cover, and may include an inspection or roadworthiness certificate depending on the importing country's rules. Some destinations also require an English translation of the Japanese export certificate. Your forwarder or exporter will tell you which apply to your specific route.
Check every document for accurate vehicle details, including chassis number, model, and declared value, since errors cause clearance delays and even penalties. Keep originals safe and copies handy, and confirm with your customs broker exactly which documents your destination demands before the vehicle sails.
