Japanese car export documents: the complete checklist

By ASTONISHING CARS CO., LTD · Updated 2026-06-03

Smooth customs clearance depends on having the right documents, prepared correctly, before the car arrives. Missing or inconsistent paperwork is the most common cause of delay and storage charges at the destination port, so it pays to understand each item.

The export certificate (deregistration certificate) proves the car has been removed from the Japanese register and is the core ownership document. Its English translation is usually required by customs in the destination country to establish year, chassis number and specifications.

The bill of lading is the shipping contract and title to the cargo, issued once the car is loaded. You need the original or a telex release to collect the vehicle, so it must match the consignee details exactly.

The commercial invoice states the agreed price and terms (FOB or CIF) and is the basis for assessing duty and taxes. A pre-shipment inspection certificate (such as JEVIC or JAAI) is mandatory for many countries and confirms condition, mileage and roadworthiness.

Depending on the destination you may also need an English translation, an insurance certificate, a packing list for containerised shipments and a certificate of origin. ASTONISHING CARS prepares and checks the full document set for each shipment so clearance is straightforward.
